DECIEM is recruiting for a Regulatory Affairs Associate to be responsible for administrative duties. The successful candidate will be an integral member of the Regulatory Team, performing a variety of tasks including reviewing documents, approving invoices, and planning team events.

What would you be doing?

  • Possess excellent documentation practices.
  • Request, vet, and organize documents from vendors.
  • Ensure documents are complete and meet registration requirements.
  • Develop a procedure to maintain registrations with a focus on traceability and efficiency.
  • Provide executive-level and professional administrative support (e.g. conducting literature-based research, preparing presentations, handling information requests, performing clerical functions) and exercise confidentiality in the management and release of all information.
  • Monitor and coordinate document preparation, ensuring that documents are ready by established deadlines. Compile, proofread, and format presentations and other documents.
  • Work with Documentation team to build and upload database to the online portal.
  • Conduct literature-based research as needed.
  • Handle internal and external communication. Professional, written and verbal communication skills required.
  • Manage and approve invoices, expenses, and credit card statements.
  • Organize, arrange, and coordinate meetings.
  • Plan events, from small dinners to large gatherings, including researching and booking venues, compiling the guest list, and organizing catering and entertainment.
  • Complete errands and ensure ad hoc tasks are completed in a timely manner.
  • Perform other related duties as assigned.

What skills and qualifications do you need?

  • Bachelor's Degree in Science or Administration.
  • 1-2 years’ experience in administration.
  • No regulatory experience required.
  • Proficient in Microsoft Excel and documentation programs.
  • Extremely well organized and detail oriented.
  • Excellent communication skills.
  • Excellent time management skills.
  • Ability to prioritize and manage multiple concurrent projects in a dynamic environment.
  • Ability to work independently and with a team.
  • Be forward thinking and proactive when planning for everyday situations.
  • Fluent in French or a second language an asset.
